Who this policy applies to

This policy applies when you visit Qwotly, create an account, use the quoting workspace, contact support, or subscribe to a paid plan.

Qwotly is designed for UK trade businesses. When a business user enters information about their own customers, that business will normally be the data controller for that customer information and Lion Tech Innovations Ltd will process it as a service provider on the business's instructions, unless the law requires otherwise.

Information we collect

  • Account information: name, email address, authentication details, account status and preferences.
  • Business profile information: business name, trade category, contact details, branding, VAT settings, payment terms and quote defaults.
  • Workspace content: customer and job details, site notes, measurements, scope descriptions, line items, prices, quotations, invoices, templates, reminders, photos, files and voice-note content you submit.
  • Billing information: plan, subscription status, billing identifiers and transaction metadata. Payment providers process full payment-card details; Qwotly does not store your full card number.
  • Technical and usage information: IP address, device and browser details, logs, page activity, error reports, security events and feature usage.
  • Communications: support messages, feedback and other correspondence with us.

How and why we use information

We use personal information to:

  • create and secure accounts, provide the service and fulfil our contract with users;
  • store, generate, edit, send and manage quotes, invoices, customer records and related workflows;
  • operate trials, subscriptions, usage limits, payments and customer support;
  • prevent fraud, misuse and security incidents, and maintain reliable service performance;
  • comply with tax, accounting, legal and regulatory obligations;
  • analyse and improve Qwotly where this is compatible with user rights and reasonable expectations;
  • send essential service messages and, where permitted, relevant product communications.

Our principal lawful bases are performance of a contract, compliance with legal obligations, legitimate interests in operating and improving a secure business service, and consent where the law requires it.

AI-assisted processing

Qwotly can use AI services to turn notes, photos, files or voice-note content into an editable scope or quotation draft. Submitted content may be sent to an AI service provider solely to perform the requested feature and related safety or abuse checks.

AI output can be incomplete or wrong. Qwotly does not independently choose your prices, VAT treatment, quantities, safety requirements or contractual terms. You review and approve every material commercial decision before sending a document.

We do not use Qwotly AI output to make solely automated decisions that produce legal or similarly significant effects about individuals.

Who we share information with

We share information only where needed to operate Qwotly, comply with the law or protect legitimate rights. Recipients may include:

  • cloud hosting, database, authentication and file-storage providers;
  • payment processors such as Stripe;
  • email delivery, monitoring, analytics, customer-support and security providers;
  • AI service providers used for an AI feature you request;
  • professional advisers, insurers, regulators, courts or law-enforcement bodies where required;
  • a buyer or successor if the business or product is reorganised, sold or transferred, subject to appropriate safeguards.

We do not sell personal information.

International transfers

Some service providers may process information outside the United Kingdom. Where required, we use recognised transfer safeguards and carry out appropriate checks so that personal information remains protected under applicable UK data-protection law.

Retention

We keep account and workspace information while the account is active and for a reasonable period afterwards where needed to provide access, resolve disputes, prevent fraud, meet legal obligations or maintain secure backups.

Trial or subscription expiry may place a workspace into read-only mode so existing records remain available. You may request account deletion, subject to information we must retain for legal, accounting, fraud-prevention or dispute purposes. Backup copies are removed through normal backup rotation.

Security

We use technical and organisational measures intended to protect information, including access controls, authentication, encrypted network connections, restricted storage and monitoring. No online service can guarantee absolute security.

You are responsible for protecting your login credentials, controlling authorised access and promptly notifying us of suspected misuse.

Your responsibilities for customer data

You must have a lawful basis and any required notices or permissions before entering customer, employee, subcontractor or other third-party information into Qwotly. Do not upload unnecessary sensitive information. You are responsible for responding to your customers' data-protection requests where you act as controller, and we will provide reasonable assistance where required.

Your data-protection rights

Depending on the circumstances, you may have rights to:

  • receive information about how your personal information is used;
  • access and receive a copy of your information;
  • correct inaccurate or incomplete information;
  • request deletion or restriction of processing;
  • object to certain processing, including direct marketing;
  • receive portable information in an applicable format;
  • withdraw consent where processing relies on consent.

Rights are not absolute and may be limited by law. Send requests to contact@liontechinnovations.co.uk. We may need to verify your identity. You may also complain to the UK Information Commissioner's Office.

Cookies and local storage

Qwotly uses essential browser storage and similar technology for authentication, security, preferences and installed-app behaviour. We may also use limited analytics or performance technology where permitted. Where consent is legally required, we will request it before use.

Qwotly is a business service and is not intended for anyone under 18.
